How is it different from a virtual receptionist?

Virtual receptionist can mean a remote person or an automated service. The label alone does not tell you whether it books jobs or takes messages. Ask for a demonstration using the same enquiry: an in-area boiler service, an unapproved price request and a caller asking for a person. How do you set it up and keep your number?

You can keep your existing business number and divert calls to Ringbridge. The routing options depend on your phone provider and setup. Agree when calls should divert and how to restore your previous routing before going live.

  1. Choose the coverage: busy calls, unanswered calls, after hours or all calls. Check divert charges with your phone provider.
  2. Write down services, opening hours, postcodes, approved prices, booking rules and who receives escalations.
  3. Confirm which diary or business system can be connected and exactly what the assistant may read or change.
  4. Agree the greeting, AI disclosure, data handling and fallback if the connection or handover fails.
  5. Run test calls, inspect the resulting records and bookings, then enable the agreed routing. Review early calls together.

Can it book into your diary and connect to your systems?

Yes, where a supported connection is configured and you have approved the booking rules. Compatibility should be checked against your exact calendar, job-management or garage system before you commit. A service enquiry may be bookable while an installation quote needs a callback. If availability cannot be checked or a booking fails, the caller should receive a clear next step rather than an invented confirmation.

A call counts when a real caller engages with Ringbridge and has a conversation handled by the service. Obvious spam, robocalls, immediate hang-ups and failed connections do not count. Standard calendar and booking connections are included where supported; bespoke integrations are quoted before work begins. More than 400 calls a month can be priced around your actual volume and setup.

Estimate potential missed revenue using unique unanswered new enquiries, your observed enquiry-to-job conversion rate and your average first-job value. Exclude spam, repeat attempts and callers you successfully reached later. This is an estimate of opportunity, not proof that every missed caller would have booked or that a service will recover all of it.

What happens when a caller is unclear or reports an emergency?

For an unclear enquiry, the assistant should clarify, then capture a name, contact number and short description for a person if it still cannot resolve the request. Agree what happens if the person is unavailable and what the caller will be told. A callback request should not become an unsupported promise about response time.

Emergency handling needs explicit rules for the area and services you cover. It should direct the caller to the appropriate emergency service without delaying them for a routine booking or callback. Can it give prices, diagnose faults or replace staff?

Ringbridge can quote prices you have explicitly approved, in the situations you allow. It collects reported symptoms rather than diagnosing faults and leaves judgement to your team. It covers calls staff cannot take while working, driving or dealing with another customer. Your rules decide which enquiries stay with people.

What should callers be told about AI and their data?

Make the automated assistant clear in the greeting and explain recording and personal-data use. The ICO's AI transparency guidance says people should receive information about the purposes of processing, retention periods and who their data is shared with. Check the lawful basis, privacy notice and processor arrangements for your own deployment before launch.

Ask where recordings and transcripts are stored, who can access them, how long they are retained, how deletion works and which suppliers process them. Agree these details for the service you are buying. A website privacy notice alone does not describe every customer's call-handling setup.

Does it work across the UK, including different accents?

Yes, where your diary or booking system is connected and you have told it what may be booked. You decide which job types can go straight into the diary, which slots can be offered, and which enquiries should become a callback instead.

What happens if it does not understand the caller?

It asks again, plainly. If something is still unclear or falls outside your agreed rules, Ringbridge can take a message, create a callback or hand the call over where configured. We agree what the caller should be told and who receives the details before the service goes live.

Can it give prices?

Only the prices you have explicitly defined, such as a fixed call-out fee or a standard service price, and only in the situations you allow. Anything that needs judgement is passed to a person. Ringbridge does not estimate or guess.

Does it replace my staff?

That is not the aim. Ringbridge covers the calls your people cannot get to: when they are on a job, on another line, driving, or when the office is closed. Your team keeps the conversations that need them.
