Ringbridge

One call, from the first ring to the booked job.

Ringbridge answers your calls, works out what the caller needs, applies your rules, captures the details and takes the next step. Here is one real-world kind of call, followed all the way through.

  1. A call comes in

Your customers keep dialling the number they already know. You decide when Ringbridge picks up: only when nobody answers, whenever the line is busy, outside opening hours, or on every call.

Nothing changes for the caller. There is no new number to learn and no menu to press through.

  2. Ringbridge answers

The call is picked up promptly by a natural-sounding voice that speaks at a normal pace, copes with interruptions and does not make people repeat themselves.

It introduces itself honestly: the team are busy, this is their assistant, and it can help. Callers hear a business that is organised, not one that is unavailable.

    1. 0:00Ringbridge

Good morning. The engineers are all out on jobs, so you’re speaking to their automated assistant. I can take the details and book a visit. How can I help?

  3. The caller is understood

People do not describe problems the way a form would. Ringbridge listens to what is actually said, works out why the person is calling and sorts it into the kinds of enquiry your business deals with.

A breakdown, a service, a quote, a question about an existing job and a sales call all go different ways.

    1. 0:10Caller

My boiler has stopped working. We’ve got no heating and no hot water since last night.

    2. 0:18Ringbridge

I’m sorry, that’s miserable. First, a safety check: can you smell gas at all, or is there any sign of a leak around the boiler?

    3. 0:27Caller

No, nothing like that. It’s just showing a fault code. F28, I think.

  4. Business knowledge is applied

This is where a general-purpose answering service falls down. Ringbridge works from your services, your coverage area, your prices, your diary and your rules about what may and may not be said.

Here, the firm’s own gas safety rule was applied before anything else, and the postcode was checked against the area they cover.

  5. The right information is collected

Ringbridge asks for what your engineer would ask for, in the order that makes sense for the job. The answers arrive as clean, labelled details, not as a voicemail somebody has to replay.

Nobody has to ring the customer back to find out the make of boiler.

  6. Ringbridge takes an approved action

Depending on the call and your rules, that might be a booking in the diary, a callback for the right person, a message to the team, a transfer, or an alert to whoever is on call.

It only takes actions you have switched on. If a system is not connected, Ringbridge captures the details and hands them over instead.

  7. Everything is recorded

Every call leaves a transcript, a short summary, the details captured, the actions taken and the outcome. You can see at a glance what came in today and what happened to it.

When a customer says “I rang on Monday”, you can see exactly what was said.

  8. Humans stay in control

You set the limits. Certain subjects always go to a person. Certain things are never said. Anything Ringbridge is unsure about becomes a clean handover, not a guess.

You can review calls, tighten a rule or change what is bookable whenever the business changes.

    LimitsExample
    Always a person
Complaints · safety concerns · landlords with 3+ properties · anything over £2,000
    Never
Diagnose faults · promise arrival times · discuss another customer’s job
    If unsure
Take name, number and a short description. Tell the caller who will ring back, and when.

Straight answers

What owners ask before they switch it on.

If yours is not here, ask us.

Will customers know they are speaking to an AI?

They should, and we recommend saying so at the start of the call. Callers mostly want a prompt, competent answer and a clear next step. Ringbridge introduces itself as the business’s assistant, explains that the team are busy, and gets on with helping. Most callers are happier with that than with voicemail.

What happens if it does not understand the caller?

It asks again, plainly. If the call is still unclear, or it falls outside the rules you have set, Ringbridge stops trying to be clever: it takes a name, a number and a short description, tells the caller a person will ring back, and sends your team the details straight away.

Can it make bookings?

Yes, where your diary or booking system is connected and you have told it what may be booked. You decide which job types can go straight into the diary, which slots can be offered, and which enquiries should become a callback instead.

Can it give prices?

Only the prices you have explicitly defined, such as a fixed call-out fee or a standard service price, and only in the situations you allow. Anything that needs judgement is passed to a person. Ringbridge does not estimate or guess.

Can it transfer calls to a person?

Yes, where configured. You choose which calls should be put through, to whom and at what times. If nobody picks up, Ringbridge takes the details and creates a callback rather than leaving the caller stranded.

Can I see what happened on each call?

Yes. Every call produces a transcript, a short summary, the details captured, the action taken and the outcome, so nothing depends on somebody remembering to write it down.

Does it replace my staff?

That is not the aim. Ringbridge covers the calls your people cannot get to: when they are on a job, on another line, driving, or when the office is closed. Your team keeps the conversations that need them.

What if a call is unusual?

Unusual, sensitive or high-value calls go to a person. You define what counts, for example complaints, anything involving safety, or jobs over a certain size. Ringbridge captures what it can and hands over cleanly.

Does it work out of hours?

Yes, where configured. You can set different rules for evenings, weekends and bank holidays, such as only alerting the on-call engineer for genuine emergencies and booking everything else for the next working day.

Is every business given the same script?

No. Ringbridge is set up around your services, coverage area, prices, diary and escalation rules. A drainage firm and a tyre shop need to ask very different questions, and their calls should sound like it.
